Job Description

Role Objective

The Payroll Executive will be responsible for end-to-end payroll management for a large workforce, ensuring accuracy, statutory compliance, timeliness, and system-driven efficiency. The role requires hands-on expertise in payroll systems such as KEKA and Spine, attendance digitization, tax optimization, and handling both on-roll and off-roll payroll environments.

Key Responsibilities

Payroll Processing

• Manage monthly end-to-end payroll for approximately 300 on-roll employees.

• Oversee payroll validation and coordination for ~3000 off-roll/contract employees.

• Ensure 100% accuracy and zero payroll errors, including overtime, incentives, deductions, and reimbursements.

• Ensure timely payroll closure, bank uploads, and payroll MIS.

Payroll Systems & Automation

• Hands-on experience with KEKA and Spine payroll software.

• Lead payroll automation and digitisation initiatives.

• Implement and manage attendance digitisation for warehouse and manufacturing units.

• Ensure seamless integration of attendance, leave, shift, and payroll systems.

Attendance & Time Office Management

• Handle complex attendance systems, including shifts, rosters, overtime, night shifts, and holidays.

• Manage biometric integration and data flow from time-office to payroll.

Compensation & Taxation

• Experience in salary structuring and restructuring as per Old and New Tax Regime.

• Manage tax benefits, deductions, exemptions, and declarations.

• Handle Form 16, tax queries, and year-end tax processes.

• Ensure accurate TDS computation and compliance.

Statutory Compliance

• Ensure compliance with PF, ESIC, PT, LWF, Bonus, Gratuity.

• Handle contract labour statutory compliance where applicable.

• Support internal and external audits.

Vendor & Stakeholder Coordination

• Coordinate with payroll vendors, HR, Finance, and external consultants.

• Act as SPOC for payroll-related issues and escalations.

• Prepare MIS and reconciliation reports.

Key Skills & Competencies

• Strong payroll operations knowledge

• Expertise in KEKA and Spine (mandatory)

• Payroll digitization and automation

• Attendance management for warehouse/manufacturing

• Salary structuring and taxation expertise

• High attention to detail

Educational Qualification

• Graduate / Postgraduate in Commerce, HR, or Finance

• Payroll or labour law certification preferred
