Job Description

Job Summary:

An Accounts Payable Specialist plays a critical role in managing a company's financial transactions by ensuring that all vendor invoices and expenses are accurately processed and paid in a timely manner. This position requires a strong understanding of accounting principles, attention to detail, and the ability to work efficiently in a fast-paced environment. Below is a job description for an Accounts Payable profile:

Key Responsibilities:

  1. Invoice Processing:
    • Review, validate, and process vendor invoices accurately and efficiently.
    • Verify that invoices match purchase orders and receiving documentation.
    • Ensure proper coding and approval of invoices before payment.
  2. Vendor Communication:
    • Maintain effective communication with vendors regarding invoice discrepancies or payment issues.
    • Resolve vendor inquiries and discrepancies promptly and professionally.
  3. Payment Processing:
    • Prepare and process electronic payments (e.g., checks, ACH transfers).
    • Monitor payment due dates to ensure timely payments to vendors.
  4. Expense Reimbursement:
    • Process and reconcile employee expense reports, ensuring adherence to company policies.
  5. Record-keeping:
    • Maintain accurate and organized records of all accounts payable transactions.
    • Reconcile accounts payable sub-ledger to the general ledger.
  6. Month-End Closing:
    • Assist in month-end and year-end closing processes, including journal entries and accruals related to accounts payable.
  7. Compliance and Reporting:
    • Ensure compliance with company policies and accounting regulations.
    • Prepare and provide reports on accounts payable aging and other relevant metrics.
  8. Vendor Relations:
    • Establish and maintain positive relationships with vendors to ensure smooth business operations.

Qualifications:

  • Bachelor's degree in Commerce (B.Com), or equivalent.
  • For advanced roles and greater responsibilities, a Chartered Accountant (CA) or Chartered Accountant Inter (CA Inter) certification is preferred.

Key Skills and Competencies:

  • Strong understanding of accounting principles and practices.
  • Attention to detail and accuracy in data entry and record-keeping.
  • Proficiency in using accounting software and Microsoft Excel.
  • Excellent organizational and time management skills.
  • Effective communication and interpersonal skills.
